Most clients never log in to anything. A client report closes that gap: a scheduled email that shows each client, in plain terms, what was watched, what was caught and what is coming up on their sites. You build the report once in the report builder, choose who gets it and when, and it sends itself from then on.

Building a report, step by step

Open Reports > Client report builder and press New report.

Give the report a name. The name appears in the email subject after the period, so "Monthly site health report" reads as "July 2026 report for Acme - Monthly site health report".

Choose the frequency: monthly or weekly. For a monthly report pick the day of the month, from the 1st to the 28th. For a weekly report pick the weekday. Then pick the hour it goes out. Times are UTC.

Add intro text if you want a short note at the top of the report. Plain text, up to 2,000 characters.

Turn the sections you want on, then drag them into the order the client should read them.

Choose the clients: all clients, or specific ones.

Choose the sites: all monitored sites, or specific ones. This is how one client can receive separate emails for separate sites.

Choose the recipients: the client's portal contacts, up to 10 extra addresses, or both.

Watch the preview on the right as you go. It is the real email with a real client's data in it.

Press Create report. The report is live and sends itself on the schedule you set.
Sections and their order
A report is built from sections, one per monitoring pillar. Sixteen are available, and each one is a simple on or off toggle with All on and All off shortcuts above them:
- Uptime and incidents. Uptime percentage, incidents and downtime for the period.
- SSL and domain status. Certificate warnings and domain registration expiry.
- DNS changes. Record changes detected during the period.
- Security and blacklist. Latest security grade, blacklist and malware flags.
- Content checks. Content check runs and anything they found.
- Visual changes. Changes detected on watched pages.
- SEO health. Latest audit score and broken links.
- Accessibility. Latest scan score and issue count.
- Compliance. Latest verdict and findings.
- Brand consistency. Latest score and issues.
- PageSpeed and Core Web Vitals. PageSpeed score plus real-visitor vitals.
- Services and heartbeats. Service monitor state and incidents.
- Journey tests. Runs, and how many passed or failed.
- Traffic. Page views and visitors for the period.
- Issues caught. The alerts raised during the period, with the top titles.
- Upcoming renewals. Renewals detected and expiries coming up.
Underneath the toggles is a Section order list of everything you switched on. Drag a row by its handle, or use the up and down arrows, to put the sections in the order you want the client to read them. The email follows that order exactly. A section you turn on later joins the end of the list, so reordering is never undone by adding one more.

Clients and sites
Scope is two separate choices, and they work together.
Clients is either All clients or a list you pick. All clients includes clients you add later, so a standing monthly report never needs revisiting when you win new work. Whichever you choose, each client in scope receives their own email covering only their own sites. Clients never see each other.
Sites is either All monitored sites or a list you pick, grouped by client. This is what lets one client receive more than one report: build one report scoped to their shop and another scoped to their brochure site, and each site gets its own email on its own schedule. A client in scope who has none of the chosen sites is skipped, so nobody is emailed a report with nothing in it.

Schedule, day and time
Every report carries its own schedule:
- Monthly. Choose any day from the 1st to the 28th, plus the hour. The list stops at the 28th so the date exists in every month and a send is never skipped in February.
- Weekly. Choose the weekday, plus the hour.
- Active. Turn a report off without deleting it. A paused report keeps all of its settings and sends nothing.

Each report covers the period that has just finished: a monthly report covers the previous calendar month, a weekly report the previous week.
Who receives it
Two settings decide the recipient list, and you can use either or both:
- Portal contacts. Send to each client's active portal contacts. Each client's report goes to their own contacts, automatically, as contacts come and go.
- Extra recipients. Up to 10 email addresses, one per line. These addresses receive every client's report in the run, which makes them the right place for your own account manager or a colleague who keeps an eye on everything, and the wrong place for one client's finance contact.
The live preview and the test send
The right-hand half of the builder is the report email itself, not a mock-up. Pick a client under Preview with data from and the preview renders the real email for that client, with their real monitoring data, in your live branding, including the subject line. It refreshes as you change sections, order, intro text, frequency or site scope.
Under the preview, Send this preview to... emails exactly what you are looking at to any address you type, with [Test] in the subject so it cannot be mistaken for the real thing. Send it to yourself, or to a colleague, before you let a client see it.
Neither the preview nor the test touches the schedule
Managing reports after they are live
The report list shows each report with its clients, sites, section count, frequency, status and when it last sent. From there you can:
- Edit it, which reopens the builder with the live preview.
- Pause or Activate it, to stop and start sending without losing the setup.
- Send now, which emails the previous period's report to every client in scope using the saved settings. Recipients who have already had this period's report are skipped, so pressing it twice does not double-send.
- Delete it, which stops its scheduled sends immediately.
The one-click site report
You do not have to start in the builder. Open a site, go to its Status Page & Reports tab and press + site report. That creates an active monthly report scoped to that one site, addressed to that site's client contacts, and drops you into the builder to adjust the sections and intro before the first send. The site needs to be assigned to a client first, because reports are sent per client.
The same tab lists every report that covers this site, marks the ones scoped to this site only, and shows each schedule and last send. Edit opens a small modal for the things you change most often: the name, frequency, day, time and whether it is active. Sections, recipients and scope stay in the full builder, where the preview is.
What the report email looks like
The report leads with exceptions rather than a wall of numbers. Every site gets one row in a summary table at the top, and only the sites that need attention get a detail card underneath. Within that, the report uses:
- A day-by-day uptime strip, so a bad Tuesday is visible at a glance.
- Score bars for the audits, with the numbers aligned down the right.
- Core Web Vitals chips from real visitors, where that data exists.
- Severity chips on the issues caught, so the serious ones stand out.
- Month-on-month deltas on the headline figures, once there is a previous period to compare against.
Sites that were healthy all period are covered by a single counted line rather than repeated cards, which keeps a twenty-site report readable.
Whose branding it carries
On Agency plans the report carries your portal branding: the logo, colours and background you set under Settings > Client portal, the same look your client portal wears. To the client it is your agency's report. On Pro plans the report uses TLDTrack styling instead, and the footer says it comes from your organisation "via TLDTrack". The layout itself is fixed; there are no branding fields in the builder.

The per-client report card
The older per-client report still exists and still works. Open a client, find the Client report card on their page, tick Send this client a scheduled report, choose monthly or weekly, choose the recipients, and save. Send now sends one immediately. It is unchanged: monthly reports go out on the 1st, weekly reports on Mondays, and it has no day or time control and no section choices.
The two live side by side, so nothing you set up before the builder existed has stopped working. Use the card if one client just needs the standard report on the standard schedule. Use the builder when you want to choose the sections, the order, the sites, the day or the time, or when one report should cover many clients at once.

Good to know
- Client reports are available on Pro plans and up. Agency plans carry your portal branding; Pro reports use TLDTrack styling and a "via TLDTrack" footer.
- Times are UTC. There is no per-organisation timezone setting, so allow for the difference when you pick an hour.
- Monthly reports can go out on any day from the 1st to the 28th; weekly reports on any weekday.
- Only monitored sites (uptime monitoring switched on) are covered. A client whose sites are all unmonitored receives nothing.
- Each client in scope gets their own email covering only their own sites. Extra recipients receive every client's report in the run.
- Sections print only when they have data for the period, so switching a lot of them on does not pad the email.
- Previews and test sends never stamp the schedule or count as the period's send.
- The per-client Client report card on a client's page still works exactly as it did.
